Managing BYO Carrier: Zones, Transit Times, & Rate Cards

With FreightExchange’s Carriers & Accounts features, you can easily manage your own carrier rates — including updating zones, transit times, and rate cards — with full control and flexibility.

Managing Carrier Zone Lists

Note: If your added carrier is part of our brokerage network, the system will automatically pre-fill existing zone and transit time data. You can then choose to update or override this data with your own.

A. How to Access Zones

  1. Go to Carriers & Accounts
  2. Find the carrier you want to edit and click View under the Zones column.
  3. You’ll be directed to a page where the zone list is displayed.


Available Actions:

  • Add a single zone
  • Bulk update zones
  • Upload a new zone list
  • Download the current zone list
  • Delete single or multiple zones
  • Search fields and Advanced Filters



B. Adding a Single Zone

  1. Click the + Add New button.
  2. Fill the required fields. 
    • For the Zone Type:
      •  Rates and Transit - if the zone list applies to both rates and transit time calculations
      •  Transit Only – if the zone only applies to transit time. (Note: Some carriers use different zone lists for rates and transit time.)
    • Sort Code and Depot Code are optional.
  3. Click the Save button.

C. Bulk Updating Zones

  1. Use search filters or manually select multiple the rows you want to update. You can also update all rows by clicking the Select All button.
  2. Click the Bulk Update button — you’ll see how many records are selected.
  3. Enter new values for the columns you want to update.
  4. Click Update.



D. Uploading a Zone File

  1. Click Upload.
  2. Choose to upload a CSV or paste data directly (for <100 rows).
  3. In the Advanced Configuration, set the appropriate options (e.g., Has Header Row, Transit Only, Child Account, Service).
  4. Then decide how the data should be handled:
    • Select Delete Existing Data & Add New if you want to override the existing data. 

    • Or choose Append to Existing Data if you're simply adding to the existing list.

  5. Once these settings are complete, click Continue to Map Columns.
  6. Match your file’s columns with FreightExchange’s system fields or set values for missing data.
  7. Click Continue to Validate.
  8. Review the validation results and choose: Import Fixed File or Import Original & Skip Errors.
  9. Your zones will now be uploaded.


E. Deleting Single or Multiple Zones

You can delete single or multiple rows. To delete:

  1. Use search filters or manually select multiple the rows you want to delete. You can also delete all rows by clicking the Select All button.
  2. Click the Delete button.
  3. Proceed to delete by clicking the Delete zone(s) button.

F. Downloading Zones

You can download your carrier’s zone list in CSV format directly from the platform.

To download:

  1. Click Download button.
  2. Ensure that pop-ups are enabled in your browser.
  3. Save the file to your device.


Managing Transit Time

Note: If your added carrier is part of our brokerage network, the system will automatically pre-fill existing zone and transit time data. You can then choose to update or override this data with your own.

A. How to Access Transit Times

  1. Go to Carriers & Accounts.
  2. Find the carrier and click View under Transit Times.
  3. You’ll be taken to the transit time list per zone.


Available Actions:

  • Add a single transit time
  • Bulk update selected rows
  • Upload a new transit time list
  • Download current list
  • Delete single or multiple entries

B. Adding a Single Transit Time

  1. Click + Add New button.
  2. Fill the required fields.
  3. Click Save button.

C. Bulk Updating Transit Times

  1. Use search filters or manually select multiple the rows you want to update. You can also update all rows by clicking the Select All button.
  2. Click the Bulk Update button — the number of selected rows will display.
  3. Enter the updated values.
  4. Click the Update button.


D. Uploading a Transit Time File

  1. Click the Upload button.
  2. Choose to upload a file or paste in data (for <100 rows).
  3. Then decide how the data should be handled:
    • Select Delete Existing Data & Add New if you want to override the existing data. 

    • Or choose Append to Existing Data if you're simply adding to the existing list.

  4. Once these settings are complete, click Continue to Map Columns.

Managing Own Carrier Rate Cards

FreightExchange supports two types of rate cards:

  • API-Based Rates: If you've provided your carrier account number, rates will be automatically pulled.
  • Manual Upload: If the Rates column displays “No Rates”, you’ll need to manually upload your rate card.


A. How to Access Rates

  1. Go to Carriers & Accounts.
  2. Find the carrier and click View under Rates
  3. You’ll be taken to the existing rate card of the carrier


Available Actions:

  • Add a single transit time
  • Bulk update selected rows
  • Upload a new transit time list
  • Download current list
  • Delete single or multiple entries


B. Uploading Your Own Carrier Rate Card

  1. Go to Carriers & Accounts.
  2. Click No Rates under the Rates column for your selected carrier.
  3. Click Upload.
  4. In the Upload Rates page, tick Has Header Row if applicable.
  5. Then decide how the data should be handled:
    • Select Delete Existing Data & Add New if you want to override the existing data. 

    • Or choose Append to Existing Data if you're simply adding to the existing list.

  6. Once these settings are complete, click Continue to Map Columns.
  7. Match CSV fields to system fields (required fields marked with *).
  8. Click Continue to Validate.
  9. After validation, review: Total records, Valid rows, Errors and suggested fixes.
  10. Choose how to proceed: Import Fixed File or Import Original & Skip Errors.
  11. Your rate card will now be uploaded.

Note: If your rate card includes multiple rate breaks (e.g., based on weight or volume), you must repeat this process for each rate break separately.


C. Adding a Single Rate

  1. Click + Add New button.
  2. Fill the required fields.
  3. Click Save button.

D. Bulk Updating Own Carrier Rates

  1. Use search filters or manually select multiple the rows you want to update. You can also update all rows by clicking the Select All button.
  2. Click the Bulk Update button — the number of selected rows will display.
  3. Enter the updated values.
  4. Click the Update button.
